Working with an event planner: when you need one and how to brief them

What a planner does, how to choose one, and how to get the best from the relationship

An experienced event planner can save you time, money and a lot of stress, especially for weddings, large celebrations and corporate events. But a planner is only as good as the brief they receive.

When a planner makes sense

  • You have a large guest list or many service providers to coordinate.
  • You are planning from abroad or have little free time.
  • The event has high stakes, such as a wedding, launch or conference.
  • You want someone to manage the day so you can be present for it.

What to look for

Ask to see events they have planned at a similar size and budget, and speak to past clients. Ask how they charge (a fixed fee, a percentage or a day rate), which service providers they work with and whether they receive commissions from them.

How to brief your planner

  1. The purpose of the event and the feeling you want guests to leave with.
  2. Your total budget, including what is fixed and what is flexible.
  3. Guest numbers, date options and any non-negotiables.
  4. Who makes final decisions and who signs agreements.
  5. How and how often you want updates.

Stay in control

Even with a planner, keep visibility of the budget, the agreements and the payments. Ask for every booking in writing in your name, or with your approval.
