Here's exactly what happens on Papohapo, step by step, with the real screens you'll use.
Add your logo, business summary, the services you offer and the counties you cover, then upload photos of your work and your booking terms. A checklist shows what's missing so your profile keeps getting stronger.
Submit your verification documents from your profile and our team reviews them. The badge shows on your profile and packages, and lets organisers filter for verified providers. You can quote before you're verified; organisers see your current status on your profile.
How verification worksThe Open Requests board lists every published request, with the ones that match your service categories first. Filter by what you haven't quoted yet or what closes this week, and see how many days are left on each.
Each request shows the event date, location, guest numbers and the organiser's requirements, with a countdown to the quote deadline. Papohapo's commission for that request is shown up front, so you can price with confidence.
The quote wizard walks you through the organiser's questions one step at a time: availability, capacity, each service, logistics and your total price. Submit early: a request can close as soon as the organiser picks a provider.
Each quotation shows where it stands as the organiser compares offers, and becomes a sales order the moment an agreement is signed.
When you're selected, the organiser prepares a service agreement from your quote. Review it, suggest changes if something isn't right, then sign online. Once both sides sign, the terms are locked, and you'll get reminders if a signature is waiting.
Every agreement carries its payment schedule, from deposit to balance. When payments are handled by Papohapo, each payment is billed on its due date and paid to you once the organiser approves it. When the organiser pays you directly, you both track it in the same place.

Need a hand?
No. Creating your profile, adding packages, browsing requests and sending quotes are free. Papohapo earns a commission only on agreements you sign through the platform.
The commission is set for each request and shown on the request before you quote, so you always know it in advance. It's 10% unless the request shows a different rate, and it applies only when you win and the agreement is signed.
When a new request matches your service categories and the counties you cover, we email you straight away with the details and a link to quote. You can pause these alerts from your Provider Centre. Every open request is also on the Open Requests board, matching ones first, and requests for your packages come straight to you.
Yes. You can quote while your verification is in progress; organisers see your current verification status on your profile. Getting verified adds the Papohapo Verified badge to your profile and packages.
Level 1 checks your identity: your ID with a matching selfie, a verified mobile number, an M-Pesa name match and your KRA PIN. Registered businesses can go further with their registration documents, and Papohapo Trusted is earned through completed agreements and strong ratings.
The organiser compares the quotes for a request, shortlists and makes a final selection. You can follow each of your quotes from received to agreement signed under My Quotations.
The organiser prepares a service agreement from your quote. You review it, suggest changes if needed, and both sides sign online. Once both have signed, the terms are locked and the payment schedule starts.
Each agreement has a payment schedule. When payments are handled by Papohapo, each payment is billed on its due date and paid to you once the organiser approves it, with the commission deducted. When the organiser pays you directly, the commission is invoiced to you separately. Your purchase orders, bills and invoices are in your account.
Yes. Create packages with a base price, inclusions, add-ons, capacity and hours. They go live after a quick review, and organisers can request them straight from your profile.
Block the date in My Availability. Your profile calendar then shows it as unavailable or booked, and you only quote on the requests that suit your schedule.
Yes. Through the Provider Partner Programme you earn a share of Papohapo's commission on bookings won by providers you introduce, with M-Pesa withdrawals from KES 500.
