Planning a corporate event or conference that runs on time

A corporate event is judged on two things: did it achieve its purpose, and did it run smoothly? Both depend on decisions made weeks before the day.

Start with the objective

Is it a product launch, staff retreat, conference or client dinner? Write down what success looks like, such as attendance, leads, engagement or morale, and plan backwards from it.

Budget and approvals

Corporate events often need internal approvals. Collect written quotes early, and keep agreements and payment schedules where finance can see them.

Venue and audio-visual

  • Check capacity for the layout you need: theatre, classroom or banquet.
  • Confirm projectors or LED screens, microphones, sound, lighting and backup power.
  • Run a technical rehearsal with your AV provider, including presentations and any live stream.

Registration and check-in

Use online registration, send reminders, and plan a fast check-in at the door. Lists printed on paper slow down the first, most important impression.

On the day

  • Keep a minute-by-minute run sheet shared with the venue, AV, catering and the MC.
  • Assign one person to handle service providers and one to handle guests.
  • Build buffer time into the programme; sessions rarely finish early.

After the event

Settle balances as agreed, collect feedback while it is fresh and record what to repeat next time.
